We are seeking an Office Services Clerk to join our Scottsdale office and serve as a key support resource for attorneys, staff, clients, and visitors. This role offers a dynamic blend of reception, office services, mailroom operations, records management, and hospitality responsibilities in a professional office environment.

What You'll Do

As our Office Services Clerk, you'll play a vital role in keeping daily office operations running smoothly by:

Office & Mail Services

  • Scan, process, and distribute legal mail for multiple attorneys
  • Sort and distribute incoming mail, packages, and deliveries
  • Prepare outgoing mail and shipments
  • Maintain accurate records of incoming and outgoing correspondence
  • Monitor and maintain mailroom supplies and inventory

Reception & Client Experience

  • Serve as the first point of contact for clients, guests, and visitors
  • Answer and direct incoming calls professionally and efficiently
  • Follow established security and visitor protocols
  • Create a welcoming and professional office environment

Conference & Hospitality Support

  • Schedule and manage conference rooms
  • Coordinate catering and meeting logistics
  • Ensure conference rooms are fully stocked and presentation-ready
  • Maintain kitchens, supply rooms, and common areas to high standards

Records & Administrative Support

  • Organize and maintain legal files, records, and correspondence
  • Operate digital scanning equipment and create electronic files
  • Perform quality control reviews of scanned documents
  • Assist with filing, faxing, copying, typing, sorting, and other clerical duties
  • Maintain strict confidentiality of sensitive information

Additional Responsibilities

  • Manage office supply inventory
  • Support special projects and office initiatives
  • Perform additional duties as assigned by leadership

What We're Looking For

Qualifications

  • Previous experience in an administrative, receptionist, office services, records, or mailroom role preferred
  • Proficiency with Microsoft Outlook and Microsoft Word
  • Familiarity with office equipment and administrative procedures
  • Strong organizational and multitasking abilities
  • Excellent communication and customer service skills
  • Ability to manage competing priorities in a fast-paced environment
  • High level of professionalism, reliability, and attention to detail
